Account Ownership: Each business is responsible for its own Culinary Key account and may grant access to unlimited users under that account.
Device Usage: Users must ensure the security of their devices when accessing the platform. Culinary Key is not responsible for device management unless specified in a separate agreement.
Compliance Responsibility: Culinary Key provides tools to assist with food safety and compliance. Users are solely responsible for ensuring their own legal and regulatory compliance with applicable UK food safety legislation.
Account Suspension: Culinary Key reserves the right to suspend or terminate accounts at its discretion, including for breach of these terms, fraudulent activity, or conduct detrimental to the platform or other users. Suspension or termination for cause does not entitle the user to any refund beyond what is set out in the Money-Back Guarantee below.
Subscription Plans: Subscriptions are priced per Location and are available on monthly or annual billing cycles. A Location represents one premises, tracked as up to two sites (Front of House and Back of House) within Culinary Key, and is billed as a single unit regardless of how many sites it contains.
Billing: Payments are processed securely through Stripe at the start of each billing period. Culinary Key does not store payment card details.
Trial Period: New accounts receive a 30-day free trial with full access to all features. No payment information is required to start a trial.
Renewal: Subscriptions renew automatically at the end of each billing period. You may cancel at any time through the billing portal; cancellation takes effect at the end of the current period.
Money-Back Guarantee: If you subscribe following your free trial and feel Culinary Key is not the right fit for your business, contact us within 7 days of your first paid charge and we will issue a full refund — no questions asked. This applies to the first subscription payment only. Subsequent renewal charges are non-refundable except where a genuine billing error can be demonstrated, in which case requests must be raised within 14 days of the charge.
Non-Payment: Accounts with failed payments will be suspended until payment is resolved.
Volume Pricing: Businesses operating 5 or more Locations qualify for reduced per-Location rates, applied automatically based on your active Location count. Current rates are always displayed on our pricing page.
Price Changes: Culinary Key reserves the right to change subscription pricing at any time. Existing subscribers will be given at least 30 days' written notice of any price increase before it takes effect on their account. Continued use of the service after the effective date of a price change constitutes acceptance of the new pricing.
Fair Use: Locations must reflect genuinely separate premises. Splitting a single premises into multiple Locations, or structuring your sites to reduce your billable Location count below your actual number of premises, is not permitted and may result in re-billing at the correct quantity or account suspension under Section 1.
Culinary Key grants you a revocable, non-exclusive, non-sublicensable and non-transferable licence to access and use the platform for your own internal business purposes. You may not copy, modify, distribute, sell or sublicense any part of the platform or its underlying software. This licence ends automatically when your subscription lapses or your account is terminated for any reason.
All content, software, trademarks and materials on the Culinary Key platform are the property of Culinary Key Ltd or its licensors. Nothing in these terms grants you any right to use our name, logo or branding without our prior written consent.
User Data Ownership: Users retain full ownership of their data. Culinary Key stores and processes data solely on behalf of users.
Data Storage: Data is stored securely using Google Firestore (Google Cloud).
Right to Be Forgotten: Users may request complete data deletion at any time, in compliance with UK GDPR.
Data Retention: Upon account cancellation, data will be retained for 90 days before permanent deletion.
Encryption & Security: Data is encrypted in transit. We follow industry best practices for platform security.
Third-Party Services: Culinary Key uses Stripe for payment processing and Google Analytics for aggregated usage analytics. We do not sell user data to third parties.
Uptime: Culinary Key aims for high availability but does not guarantee uninterrupted or error-free service.
Data Integrity: We rely on Google Cloud and Firestore for data integrity. Culinary Key is not liable for data loss beyond the protections provided by Google's cloud infrastructure.
Platform Changes: Culinary Key may introduce updates, new features, or changes to improve the platform. Continued use after updates constitutes acceptance of those changes.
Liability Cap: To the fullest extent permitted by law, Culinary Key's total liability to you in connection with your use of the platform shall not exceed the total fees paid by you in the 12 months preceding the claim.
Force Majeure: Culinary Key is not liable for any failure or delay in providing the service caused by circumstances beyond our reasonable control, including infrastructure outages, third-party service failures, or other events outside our reasonable control.
Account Termination: You may terminate your account at any time. Your data will be retained for 90 days after termination and then permanently deleted, unless legally required to be retained longer.
Policy Updates: We may update these terms from time to time. Users will be notified of material changes and continued use constitutes agreement to the revised terms.
Support Channels: Support is provided via email at support@culinarykey.co.uk and through in-app messaging. These are the only channels through which support is offered. Culinary Key does not provide telephone support or on-site visits as part of any subscription.
Response Times: We aim to respond to all support requests within 2 business days. Response times may vary outside normal UK business hours or during periods of high demand.
Scope of Support: Support covers platform usage, account queries and technical issues within Culinary Key. It does not extend to third-party hardware, network infrastructure, or bespoke configuration work outside standard platform setup.
If you are a UK consumer or sole trader, you may have a statutory right to cancel within 14 days of entering into a subscription under the Consumer Contracts Regulations 2013. However, by subscribing and accessing the platform, you acknowledge that you are requesting the service to begin immediately. If the service has commenced within the cancellation period, any refund may be reduced to reflect the service already provided. This does not affect your right to cancel your ongoing subscription at any time through the billing portal.
These terms are governed by the laws of England and Wales. Any disputes arising from or connected to these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If any provision of these terms is found invalid or unenforceable, it will be modified to the minimum extent necessary to make it valid, or removed if modification is not possible. All remaining provisions continue in full force and effect.
